Our client was established as a joint venture between a Finnish manufacturer of scientific and clinical instruments and a Japanese company, and primarily provides import, sales and after-sales service of motorized pipettes, manual pipettes and consumables for laboratory use. We were the first in the world to develop and launch motorized pipettes and have increased our market share through dealings with major pharmaceutical manufacturers. Currently, the introduction of electric pipettes in the Japanese market is still low, and we are aiming for further market growth.
Responsibilities
The Order Processing Specialist will be responsible for providing the sales team with administrative support and enhances the efficiency of the sales process between the organization and its customers and for interacting with internal and external customers. The holder of this position supports the internal sales team by providing reports, processing orders as well as by communicating with customers and internal departments to ensure the correct processing of client orders and on time delivery.The Order Processing Specialist will be responsible for providing the sales team with administrative support and enhances the efficiency of the sales process between the organization and its customers and for interacting with internal and external customers. Main responsibilities:
  • Products handled: Mainly Lab Products
  • Accurately process customers’ orders into SAP, ensuring that all proper discounts, special pricing, terms of payments and shipping details are properly applied to orders
  • Create order confirmations, delivery slips and invoices in SAP
  • Inform customers by email, fax or telephone for order information, such as for delivery schedules and any updates
  • Handle customer inquiries regarding shipping and delivery schedule
  • Handle customer complaints regarding issues with orders
  • Maintain customer master data, price conditions and delivery replenishment time in SAP
  • Communicate with warehouse staffs for stock verification and outbound deliveries
  • Charter truck arrangement based on the customer requests
  • Handle return shipments from customers
  • Understand the shipping and product information written in English
Requirements
Minimum requirements:
  • University degree
  • 3-5 years’ working experience in order processing dept., service & detail orientated
  • Very good SAP knowledge and skills for SD (Sales and Distribution) module
  • Native-level Japanese (spoken and written)
  • Intermediate-level English (spoken and written)
  • Logical, self-motivated, energetic, results oriented, skilful for handle multi-tasks, quick learner and can work under high pressure
  • Excellent customer service skills and team player

Preferred qualifications:
  • Advanced-level English (spoken and written)
