- Main responsibilities:
To maintain a professional and welcoming reception service for all visitors to the company
To ensure the presentation of the office space is catered for and administered in a pre-emptive
fashion
Custodian of all office related amenities and procurement processes and function.
To support the team leaders with administration requirements.
To be the epicentre of all company related knowledge, processes, procedures and information for all our internal staff.
Use relevant industry knowledge and professional experience to effectively communicate with the company's parent company and external partners in different countries
Oversee & participate in coordination of company related events and activities.
Maintain a professional and welcoming reception service, meet and greet visitors to the company·
Ensure the office is visually maintained to reflect a welcoming and professional environment, clean desk policy at all times
Phone System: Answer all calls that come through the office and transfer calls to the appropriate staff member & following up all messages on voicemail.
Answer general enquiries and provide accurate information regarding the company and its services
Responsible for the smooth running of the staff kitchen, including regularly cleaning the staff fridges and taking responsibility for small appliances
Receive and despatch mail and deliveries, and maintain the mail & courier register
Order and maintain stationery supplies and other office consumables on a regular basis
Oversee the Meeting room booking system, coordination and set up including IT setup of online meetings
Responsible for the maintenance of all office equipment including repairs and regular servicing
Support the external IT provider with IT queries and tickets
Assist with set up of new staff within the business ensuring all contact details are set up on rosters/lists/participation in events
Assist with off board staff within the business ensuring a smooth departure
Manage vehicles use, book repair or service and communicate all issues to management as required
Book meetings, travel and accommodation for senior managers as required
Attend meetings, prepare meeting agenda and minutes, assist in translation as required
Organise catering for meetings and training events as required
Assist with logistics for trainings and meetings including printing and collating material, preparing and maintaining attendance registers
Assist with marketing team for marketing collateral update, merchandise goods preparation and event organising
Active participation in OHS activities as required with HR
Other administrative tasks and projects as requested by Senior Managers
Centrally manage and control all administration processes, registers, manuals and ensure they are up to date
File business documents properly including categorising documents, maintaining version control, ensuring confidentiality and updating the filing system as required
Establish and nurture strong relationships with key stakeholders in the parent company and external partners. This involves regular liaison and communication, understanding their needs and expectations, and ensuring alignment with the company's goals and objectives.
Demonstrate cultural awareness and sensitivity when interacting with partners from different countries. This includes understanding and respecting cultural differences, business etiquettes, and communication styles specific to Japan, Australia, China, and Southeast Asian countries
Utilize language skills to effectively communicate with partners in their native languages. This may involve speaking or writing in Japanese, Mandarin (or English), or working with translators to ensure clear and accurate communication
Facilitate collaboration between various departments within the company and external partners.
Ensure that governance and reporting requirements are met for both the parent company and subsidiaries. This involves preparing and presenting reports, adhering to compliance standards, and maintaining transparency in all communications
Align the company's strategies and objectives with those of the parent company and external partners. This includes understanding the broader corporate strategy, identifying synergies, and
ensuring that local initiatives support the overall business goal
Identify and mitigate risks associated with international business operations. This involves staying informed about regulatory changes, economic conditions, and other factors that could impact the business, and assist in developing strategies to address these risks
