■ポジションについて
東京における不動産部門に対して、チームの事務業務およびオフィスマネジメントのサポートをお任せします。
■Responsibilities- Team Administration
- Support the team with travel arrangements, meeting coordination, event management, administrative work and ad-hoc requests
- Work closely with external vendors (e.g. travel agencies, accommodation providers, etc.) to ensure appropriate business representation at all times
- Assist in preparing correspondence, reports and materials for meetings and presentations
- Organize meeting agendas and prepare minutes when required
- Oversee the setup and arrangement of meetings, lunch talks and town hall sessions, including catering and refreshments
- Office Management
- Support procurement of office and pantry supplies
- Manage and monitor costs related to office equipment and supplies
- Welcome visitors and handle incoming phone calls
- Manage incoming and outgoing mail and courier services
- Ensure office security in compliance with internal risk management, audit policies and workplace safety requirements
- Act as the BCP / incident management coordinator for the office
- Manage external office services such as courier and cleaning vendors
- Arrange name cards and corporate cards when required
- Finance Support
- Accounts Payable: review invoices and expense claims, process payments, manage coding and logging, and coordinate approvals with internal and overseas finance teams
- Cash Management / Banking: assist with documentation for new account setups and related inquiries
- HR Support
- Support employee benefit system registrations
- Arrange medical check-up appointments and submit reports to the regional HR team
- Coordinate onboarding-related meetings with insurance providers and administrative procedures
- Forward documents to payroll vendors
- Arrange interviews and meeting rooms
- Support employee exit procedures, including asset return and internal coordination
- Provide ad-hoc support for employee engagement activities
- IT Support
- Manage procurement and cost control of company-issued mobile devices
- Support IT-related onboarding tasks for new joiners (e.g. ID registration, phone setup, access cards)
- Coordinate with regional IT teams on local IT matters

- Requirements

■必須- 8年以上の金融業界での秘書/アドミン経験
- ビジネス上級レベル以上の英語スキル
- ネイティブレベルの日本語スキル
- MS Officeスキル(特にWord・PowerPoint)に精通
- 出張手配および経費精算処理の実務経験
■歓迎- 不動産ファンドマネジメント領域での経験
