Responsibilities
The Project Coordinator provides day-to-day support a specific project, focusing on pre-opening activities. This role is primarily coordination-focused, helping senior team members manage pre-opening tasks, contracts, and cross-team communications. As skills and experience grow, the coordinator will have opportunities to take on more complex project responsibilities and advance into broader project management roles. Main responsibilities:
  • Pre-opening Project Management Support
    • Assist the PMO in managing pre-opening working groups to facilitate communication and status tracking, while working closely with counterparts.
    • Maintain the project management system, including management of user access, project registration process, and general platform upkeep.
    • Support English-to-Japanese and Japanese-to-English communications (written and verbal) for effective communication and decision-making between parties.
  • Contract Execution Support
    • Track and support the execution of key contracts and scope of work documents (including NDA, MOU, LOI) in a timely manner for the team to efficiently start and complete phases of work.
    • Evaluate and perform due diligence (background and probity checks) on potential partners (corporations, central and local governments, tourism agencies, vendors, etc.).
  • IP Asset Management
    • Submit and track copyrighted asset approval/registration requests to the Legal team.
    • Handle download requests for assets from Webdam/Getty image libraries.
  • Las Vegas Tour Coordination
    • Work closely with both US-based Global Development, Japan, and other team resources to manage schedule and details for visits.
    • Manage visit request intake process, looking for ways to continuously improve the process based on effectiveness and feedback.
  • Administrative Tasks
    • Meeting coordination: coordinate logistics (location, time), send internal and external meeting invites, set up recording/transcript settings as needed, upload recording and transcript files.
    • Manage access permissions and storage space for Teams SharePoint sites.
    • Help organize internal events (Town Halls, holiday events, employee activities).
    • Provide flexible support to the pre-opening team for other tasks as needed.
Requirements
Minimum requirements:
  • Bilingual proficiency in Japanese and English (both spoken and written)
  • Good organizational skills and attention to detail; comfortable managing multiple tasks
  • Proficient in Microsoft 365 (Word, Excel, PowerPoint, SharePoint) and eager to learn and adapt to other digital tools and systems.
