Responsibilities
You will be joining the Digital, Data & IT (DD&IT) Department in the Finance & Operations Division. The department is in charge of the analysis, design, implementation, operation, deployment, and support of the organization's information technology resources. We work collaboratively to develop IT strategies, policies, and plans, and ensure the maintenance and use of information technology resources. As a team, we are focused on driving digital disruption and exploring new opportunities to leverage technology for business success. The IT Team oversees the governance and control mechanisms pertaining to system implementation and operational processes across other business units. This includes conducting risk assessments and ensuring that roles, responsibilities, and accountabilities are well-defined and aligned with standard operating procedures. Additionally, the team is charged with the direct management of several specialized IT systems that are essential to our local operations. It is important to note that responsibilities for IT infrastructure, hardware, general applications, and user support is managed elsewhere outside the DD&IT department.
This role will ensure compliance of the System Management of locally owned IT systems, including those owned and operated by other departments, outside the IT Team. The focus is heavily on GxP (Good x Practice)/SOP (Standard Operating Procedures) compliance, validation, documentation, and cross-departmental governance and alignment. In this area, the role serves as the main contact point between Japan and the Global organization, and is in charge for facilitating and collaborating on internal audits.
Main responsibilities:
  • Cross-departmental governance and alignment, such as design, document and manage governance structures and processes to ensure structured risk assessment and approval of new IT systems across the local organization. Maintain an overview of all local IT systems along with clearly assigned system management responsibilities. Proactively engage directly with management and stakeholders across the organization to ensure sufficient awareness and understanding of the processes, roles and responsibilities
  • Budget, contract and vendor management, such as ensure a cost-effective and efficient vendor setup for local operational tasks, serving both the IT Team and the wider DD&IT Department. Select the right vendors, negotiate favourable contracts, track performance and optimize over time.
  • People management and delegation for the IT Team, such as directly manage and develop local system manager, project manager and SME (System Management Engineer) type roles. Indirectly manage India-based support resources devoted to Japan, and ensure Global resources and expertise are leveraged as much as possible to offload and support the local IT Team. Minimize risk of disruption from subordinates leaving the team through knowledge redundancy and sufficient documentation. Proactively manage workload and load-balance within the team to enable work-life balance and prevent burnout. Create an engaging work environment with flexibility and psychological safety.
  • Hands-on support for IT Team tasks, such as risk assessment and approval of local IT systems across the organization. System Management of selected local IT systems (mainly GxP and/or business critical). Supervision of operational DD&IT tasks delegated to vendors. Consulting and support for planned business projects with a significant IT component.

Requirements
Minimum requirements:
  • 5+ years working in IT roles such as System Manager, System Engineer, Project Manager and/or Business Partner.
  • 2+ years being fully in charge and main contact point for one or more business-critical IT systems.
  • 2+ years focusing on IT compliance, validation and documentation.
  • Experiences of people management.
  • Fluent in English and Japanese, both written and spoken.
