業務内容
Main responsibilities:
  • Administrative Support
    • Provide secretarial and work-related administrative support to Marketing Director, such as documentation, expense claims, meeting scheduling, travel booking, visa applications
    • For business trips both domestic and overseas, to assist with travel co-ordination and booking in accordance to Company T&E guidelines
    • Plan, track and monitor the Travel & Entertainment (T&E) budget and expenses of the Marketing Director
    • Assist in filing purchase requests and invoices in Concur for vendor fees/expenses incurred by the department, and handling recharging instructions to Finance team where relevant
    • Assist in the preparation of business reports and presentations/ materials for the region with Marketing Team Members under Marketing Director’s guidance.
    • Be responsive to emails/ text messages/ phone calls with contact outside normal business hours where needed
    • Manage proper archival and management of documents
  • Department Co-ordination
    • Plan and organize any business meetings, training, workshops and conferences, both virtual and in-person sessions
    • Consolidate information, reports or presentations from the Company Internal Departments and functions on different projects for review
    • Manage the team calendar for regular meetings and/or events
    • Support scheduling and logistics for visitors from other regions and maisons (e.g. transport, meeting scheduling and room booking, business lunch reservations)
応募条件
Minimum requirements:
  • Proven track record in providing Executive Assistant support to C-Suite level Executives with a high degree of discretion, confidentiality, professionalism and attention to detail
  • Demonstrated strong planning, organizational and time management skills with the ability to proactively determine priorities as well as appropriate sequencing to accomplish daily expectations/ handle multiple demands
  • Highly organized individual with the ability to exercise good judgement in diverse situations and balance multiple priorities
  • Ability to informally lead and influence others
  • Excellent verbal and written communication skills in English and Japanese with emphasis in business writing and proofreading
  • Must be technologically savvy to IT equipment (eg. Video conferencing system)
