Responsibilities
Main responsibilities:
  • Schedule Management
    • Coordinate and manage calendars for multiple MDs and team members.
    • Arrange and prioritize meetings, appointments, and events.
    • Send reminders and ensure timely follow-up on important dates and deadlines.
  • Meeting Preparation and Coordination
    • Organize meetings, including preparing agendas, arranging venues, and coordinating with participants.
    • Prepare and distribute meeting materials and documentation.
    • Take detailed minutes during meetings and track action items for follow-up.
  • Document Management and Record Keeping
    • Maintain and organize internal and external documents, including contracts, reports, and correspondence.
    • Ensure accurate filing and archiving of important documents.
    • Manage document tracking and deadlines to ensure compliance.
  • Communication Support
    • Handle and prioritize incoming and outgoing communications, including emails and phone 
Requirements
Minimum requirements:        
  • Strong Communication Skills: Proficient in written and spoken English, with the ability to communicate clearly and professionally.
  • Organizational Abilities: Exceptional organizational skills with the ability to manage multiple tasks and priorities effectively.
  • IT Proficiency: Skilled in Microsoft Office Suite (Word, Excel, PowerPoint) and other business software.
  • Attention to Detail: High level of accuracy and attention to detail in all tasks.
  • Flexibility: Ability to adapt to changing circumstances and handle various administrative tasks as needed.
  • Problem-Solving Skills: Proactive in identifying and resolving issues
